Recruiterflow — HR Workflow Guide

What happens after Recruiterflow is connected — and what your team can do from there

4 min readUpdated Nov 1, 2026

This guide is for recruiters and hiring managers using SIA with Recruiterflow. Once connected, SIA automatically syncs your open jobs and candidate applications so you can run AI-powered matching, prescreening, and interviews without leaving your existing workflow. Results come back into Recruiterflow as notes on the candidate and as movement through your pipeline stages. Nobody on your team has to re-type, re-upload, or switch between two systems.

Note: Recruiterflow must be connected to SIA before any of this applies. If it hasn't been set up yet, ask your IT admin to follow the Recruiterflow IT Setup Guide.

How jobs sync from Recruiterflow

#

SIA stays in sync with Recruiterflow through a combination of instant updates and a regular check-in. Whenever Recruiterflow can notify SIA directly of a new or changed job, SIA picks it up right away — and as a backstop, SIA also checks your Recruiterflow account every 15 minutes to catch anything that wasn't delivered instantly. Either way, every open job is pulled in and set up automatically with no manual job creation needed on your end.

For each job it finds, SIA sets up three things automatically:

  • Job details — the role, description, and requirements come across as-is from Recruiterflow
  • A default resume matching strategy — a starting set of criteria to score candidates against, based on the job itself, so scoring can begin right away
  • Workflow activation — if the job already has a SIA user assigned, it goes live immediately and starts evaluating candidates

If a job doesn't yet have a SIA user assigned, it's held in Draft rather than going live. Nothing is evaluated or acted on until someone is assigned to own it.

How candidate stages sync back to Recruiterflow

#

As candidates move through your hiring workflow in SIA, their stage updates sync back to Recruiterflow — keeping your candidate pipeline aligned across both systems. Instead of manually updating candidates in multiple places, your team can manage the workflow in SIA and the relevant stage changes reflect in Recruiterflow automatically.

Since Recruiterflow defines its own set of stages per job, SIA works with whatever stages your team has already set up — there is nothing new to create just to make this work. When a candidate moves from one stage to another in SIA, the corresponding stage is updated on that job's pipeline in Recruiterflow, keeping the candidate's journey consistent across both platforms.

If a stage ever doesn't sync the way you expect, that mapping is the first thing to check. Reach out to the Senseloaf team at support@senseloaf.com and it'll get sorted.

Candidate sync and shortlisting

#

Alongside jobs, SIA pulls in candidates from Recruiterflow the same way, instantly when Recruiterflow notifies SIA of a new application, and every 15 minutes as a backstop for every active job. Each candidate is evaluated against that job's matching strategy and ranked by grade in the Candidate Listing — so your team opens a ready-sorted list rather than a raw pile of applications.

Whenever a candidate is shortlisted in Senseloaf, whether your team does it manually or it happens automatically off a score, they are moved to the matching stage in Recruiterflow, using the stage mapping configured for your organisation. The same happens when a candidate is disqualified.

What lands back in Recruiterflow

#

Every SIA evaluation — resume matching, prescreening, or an interview — always flows back to the candidate's Recruiterflow record as a plain-text note, so your team never has to leave Recruiterflow to see how someone did.

If your organisation has also created the optional SIA Score (Number) and SIA Report (Text/URL) custom fields covered in the IT Setup Guide, the score and report link land there too as structured values you can sort and filter on, not just text buried in a note.

Your team can review the evaluation outcome directly from Recruiterflow with key insights at a glance. When they want to go deeper, they can jump straight into the full evaluation report in SIA. This gives hiring teams the flexibility to review from Recruiterflow when they need a quick decision, or open SIA when they want the full picture.

Interact with your Recruiterflow data in SIA Chat

#

Once Recruiterflow is connected, you can ask SIA about jobs, candidates, notes, and pipeline stages in plain language directly from SIA Chat. The prompts below are a starting point — explore more from directly within the SIA platform.

Getting started
What can I do with my Recruiterflow integration?
Jobs and Application Status
How many candidates are in each stage of the [Job Title] pipeline?
Update Notes
Add a note to [Applicant Name] from [Job Name] in Recruiterflow: strong on system design, weak on SQL.
Stage Changes
Which candidates moved stages today because their score changed?

Connecting your other tools

#

SIA Chat isn't limited to Recruiterflow. Since your other tools are connected to SIA too, you can act on the same candidates and jobs across Slack, Google Workspace, and email without leaving the conversation. Ask SIA to hand off a shortlist, a report, or a scheduling task to whichever tool your team actually works in — it'll route the request to the right connector automatically.

Share update in channels
Post today's shortlisted candidates to our #hiring Slack channel.
Export Date to Google Sheet

Send Emails
Send an email invite to [Candidate Name] for the next interview round.
Schedule Meetings
