# BreezyHR — HR Workflow Guide

This guide is for recruiters and hiring managers using SIA with BreezyHR. Once connected, SIA automatically syncs your open positions and candidate applications so you can run AI-powered matching, prescreening, and interviews without leaving your existing workflow. Results come back into BreezyHR as notes on the candidate and as movement through your pipeline — nobody on your team has to re-type, re-upload, or switch between two systems.

> **Note**
>
> **Note:** BreezyHR must be connected to SIA before any of this applies. If it hasn't been set up yet, ask your IT admin to follow the BreezyHR IT Setup Guide.

### How positions sync from BreezyHR

SIA checks your BreezyHR account every 15 minutes and pulls in every open position automatically — there's no manual job creation needed on your end.

> **Note**
>
> **Note:** BreezyHR refers to jobs as **positions** — you'll see this term used throughout the platform and in SIA Chat when working with BreezyHR data.

For each position it finds, SIA sets up three things automatically:

* **Job details** — the role, description, and requirements come across as-is from BreezyHR
* **A default resume matching strategy** — a starting set of criteria to score candidates against, based on the position itself, so scoring can begin right away
* **Workflow activation** — if the position already has a SIA user assigned, it goes live immediately and starts evaluating candidates

If a position doesn't yet have a SIA user assigned, it's held in **Draft** rather than going live — nothing is evaluated or acted on until someone is assigned to own it.

### Using BreezyHR questionnaire answers as matching criteria

If your BreezyHR position has a candidate questionnaire attached, SIA pulls in both the questions and each candidate's answers. You can turn any of these into a scored shortlisting criterion in your matching strategy, alongside skills and experience.

To add one, just tell SIA what you want in plain language while setting up the matching strategy. For example:

*"Include a criteria on this candidate question — 'Are you willing to relocate?'. Only Yes should qualify."*

SIA adds it as a scored criterion right away — no separate setup screen, no configuration file to edit.

> **Note**
>
> **Note:** This only works when BreezyHR is connected and the position has a questionnaire attached. Positions without one won't have this option available.

### How candidate stages sync back to BreezyHR

As candidates move through your hiring workflow in SIA, their stage updates sync back to BreezyHR — keeping your candidate pipeline aligned across both systems. Instead of manually updating candidates in multiple places, your team can manage the workflow in SIA and the relevant stage changes reflect in BreezyHR automatically.

SIA works with whatever pipeline your organisation already has set up — there is nothing new to create just to make this work. When a candidate moves from one stage to another in SIA, the corresponding stage is updated in BreezyHR, keeping the candidate's journey consistent across both platforms.

If a stage ever doesn't sync the way you expect, that mapping is the first thing to check — reach out to the Senseloaf team at <support@senseloaf.com> and it'll get sorted.

### Candidate sync and shortlisting

Alongside positions, SIA pulls in candidates from BreezyHR every 15 minutes for every active position, evaluates each one against that position's matching strategy, and ranks them by grade in the Candidate Listing — so your team opens a ready-sorted list rather than a raw pile of applications.

Whenever a candidate is shortlisted in SIA — whether your team does it manually or it happens automatically off a score — they are moved to the matching stage in BreezyHR, using the stage mapping configured for your organisation. The same happens when a candidate is disqualified.

### What lands back in BreezyHR

Every SIA evaluation — resume matching, prescreening, or an interview — automatically flows back to the candidate's BreezyHR profile in two ways:

* **As a scorecard entry** — the numeric score plus a note, visible directly on the candidate's record
* **As a plain-text note** in the candidate's discussion stream — showing the grade, summary, and a link to the full report in SIA

If your organisation has a custom attribute set up for the score, SIA writes the value there too. Either way, your team never has to leave BreezyHR to see how someone did.

Your team can review the evaluation outcome directly from BreezyHR with key insights at a glance. When they want to go deeper, they can jump straight into the full evaluation report in SIA. This gives hiring teams the flexibility to review from BreezyHR when they need a quick decision, or open SIA when they want the full picture.

### Interact with your BreezyHR data in SIA Chat

Once BreezyHR is connected, you can ask SIA about jobs, candidates, notes, and pipeline stages in plain language directly from SIA Chat. The prompts below are a starting point — explore more from directly within the SIA platform.

```text wrap title="Getting started"
What can I do with my BreezyHR integration?
```

```text wrap title="Jobs and Application Status"
How many candidates are in each stage of the [Job Title] pipeline?
```

```text wrap title="Update Notes"
Add a note to [Applicant Name] from [Job Name] in BreezyHR: strong on system design, weak on SQL.
```

```text wrap title="Stage Changes"
Which candidates moved stages today because their score changed?
```

### Connecting your other tools

SIA Chat isn't limited to BreezyHR. Since your other tools are connected to SIA too, you can act on the same candidates and jobs across Slack, Google Workspace, and email without leaving the conversation. Ask SIA to hand off a shortlist, a report, or a scheduling task to whichever tool your team actually works in — it'll route the request to the right connector automatically.

```text wrap title="Share update in channels"
Post today's shortlisted candidates to our #hiring Slack channel.
```

```text wrap title="Export Date to Google Sheet"
Export this week's shortlist to a Google Sheet for the hiring manager.
```

```text wrap title="Send Emails"
Send an email invite to [Candidate Name] for the next interview round.
```

```text wrap title="Schedule Meetings"
Schedule a screening call with [Candidate Name] on my calendar for next week
```
